This policy explains how BuildScan AI handles personal information and site evidence in accordance with the GDPR and Irish data protection law.
1. Who we are

2. Information we collect
We process account details such as names, business email addresses, telephone numbers, company names and job roles.
When the service is used, we may also process project details, planning references, site photographs, capture time and location, notes and voice transcripts, weather records, signatures, audit events and generated reports.
3. Why we use information
We use this information to provide and secure the service, authenticate users, preserve construction records, generate reports, support contractual delay analysis, manage subscriptions and communicate essential service notices.
Our legal bases may include performance of a contract, legitimate interests in delivering and securing the service, compliance with legal obligations and consent where required.
4. Roles and access
Customer organisations control their project content and determine which authorised team members may access it. BuildScan AI processes that content to provide the service. Role-based access limits project records, reports, archives and signing actions to authorised users.
5. Storage and security
Information is protected using access controls, encryption in transit and at rest, time-stamped audit records and permanent evidence storage where required. No internet service is risk-free, but we apply technical and organisational safeguards appropriate to the data handled.
6. Retention and deletion
Account deletion has a 30-day recovery period. Personal information is then removed or anonymised unless continued retention is required for legal claims, contractual records, fraud prevention or signed evidence integrity. Project owners remain responsible for applicable construction-record retention duties.
7. Sharing and international processing
We use carefully selected service providers for hosting, authentication, email, weather data and AI-assisted analysis. They receive only the information required to perform their services and are subject to contractual safeguards. We do not sell personal information or use project data for advertising.
8. Your rights
Subject to applicable law, you may request access, correction, erasure, restriction, portability or objection. You may also complain to Ireland’s Data Protection Commission. To exercise a right, email us and provide enough information to verify your identity and locate the relevant account.
9. Cookies and device storage
BuildScan AI uses essential browser storage and authentication technologies to keep users signed in, protect sessions, remember limited interface choices and support offline drafts. We do not use this information for third-party behavioural advertising.
10. Changes to this policy
We may update this policy as the service or legal requirements change. The effective date above identifies the current version. Material changes will be communicated through the service or by email where appropriate.
